Debit/Credit Card Privacy & Convenience Fee

Upper Macungie Township is committed to protecting the privacy and security of customer information. All online registrations, payments, and transactions for the Parks and Recreation Department are processed through Dash by DaySmart, a secure, third-party registration and payment platform.

Upper Macungie Township does not store full debit/credit card numbers. Payment information is encrypted and handled in accordance with industry security standards by Dash by DaySmart and its payment processor.

A non-refundable convenience fee of up to 4% will be applied to all debit/credit card transactions. This fee is assessed by the payment processor and is not refundable under any circumstances, including cancellations, refunds, or program changes.


Refund & Cancellation Policies

Township Programs, Events, and Classes

  • Full refunds or credits will be issued if the Parks and Recreation Department cancels a program or event.
  • Refunds will not be issued due to weather cancellations; makeup dates may be scheduled.
  • If makeup classes are not possible due to instructor availability, a prorated household credit will be issued to the participant’s Dash by DaySmart account.
  • Household credits expire 365 days from the date of issuance.
  • No refunds or credits will be issued after a program has started.
  • No refunds or credits will be issued if a participant is removed for inappropriate or unacceptable behavior.
  • Refund requests submitted 21 or more calendar days prior to the start date will receive a full refund.
  • Refund requests submitted within 20 calendar days of the start date will incur a 10% administrative fee.
  • No refunds will be issued for cancellation requests made within 7 days of the program or event.
  • No refunds will be issued for any reason once a program has concluded.

Summer Camp Registration

  • Cancellation requests submitted 90 or more days prior to the first day of camp will receive a full refund.
  • Cancellation requests submitted 60 or more days prior will receive a refund minus a 10% administrative fee.
  • Cancellation requests submitted 30 or more days prior will receive a refund minus a 25% administrative fee, provided the vacated spot can be filled.
  • Cancellation requests submitted less than 30 days prior to the first day of camp will not receive a refund or credit.
  • No refunds or credits will be issued if a participant is removed due to inappropriate or unacceptable behavior.
  • All requests must be submitted in writing to recreation@uppermac.org.

Outdoor Park Facility Rentals

(Pavilions, Ball Fields, Courts)

  • A full refund will be issued if the Parks and Recreation Department cancels the rental.
  • No refunds or credits will be issued if false or misleading information was provided during the reservation process.
  • Refunds will not be issued due to inclement weather.
  • Cancellation requests submitted 21 or more calendar days prior to the rental date will receive a full refund.
  • Cancellation requests submitted within 20 calendar days will incur a 10% administrative fee.
  • No refunds will be issued for cancellations submitted within 7 days of the rental date.
  • Requests to reschedule must be submitted prior to the event date and must occur within the same calendar year.

Community Lifestyle Center Memberships

  • Cancellation of monthly (auto-pay) memberships requires written notice submitted in person or via email to recreation@uppermac.org.
  • Memberships remain active until the end of the next billing cycle.
  • Memberships canceled less than 90 days after the initial purchase will incur a $75 cancellation fee.
  • Youth memberships (under age 14) require adult supervision at all times.
  • Children under age 2 do not require a membership.

Community Lifestyle Center Facility Rentals

  • Cancellation requests submitted 90 or more days prior to the rental date will receive a full refund.
  • Cancellation requests submitted 60 or more days prior will receive a refund minus a 10% administrative fee.
  • Cancellation requests submitted 30 or more days prior will receive a refund minus a 25% administrative fee.
  • Cancellation requests submitted less than 30 days prior to the rental date will not receive a refund or credit.
  • No refunds or credits will be issued if false or misleading information was provided.

Special Events

  • A full refund will be issued if the Parks and Recreation Department cancels the event.
  • No refunds or credits will be issued if false or misleading information was provided.
  • Refunds will not be issued due to inclement weather.
  • A 10% non-refundable deposit is required at the time of booking to reserve the event date and location.
  • The remaining 90% balance is due no later than 30 days prior to the event date.

Extenuating Circumstances

Refund, credit, or transfer requests due to extenuating circumstances (including injury, death, or facility conditions) will be reviewed on a case-by-case basis and require approval from the Recreation Manager and Township Manager.

  • Requests must be submitted in writing to recreation@uppermac.org.
  • Refunds or credits for medical reasons will be prorated from the date notification is received.
  • Medical documentation may be required.

Acknowledgment

By registering, reserving, or purchasing through Dash by DaySmart, users acknowledge and agree to all policies outlined above, including applicable administrative fees and non-refundable debit/credit card convenience fees.
